ASBESTOS 2027 Abstract Submission Terms and Conditions

These Terms and Conditions apply to all abstracts submitted for consideration for ASBESTOS 2027 – Road to Removal, taking place from 22–24 March 2027 in Christchurch, New Zealand.

By submitting an abstract, you confirm that you have read, understood and agreed to these Terms and Conditions.

Event organisers

ASBESTOS 2027 is hosted by the Faculty of Asbestos Management of Australia & New Zealand Limited (ABN 14 632 058 229) (FAMANZ or the Host).

The conference is managed by True Synergy Pty Ltd (ABN 63 883 405 386) (Conference Manager), acting as agent for and on behalf of FAMANZ.

Submission requirements

Abstracts must:

  • Be submitted through the official ASBESTOS 2027 Abstract Submission Portal by the advertised deadline.
  • Follow the published submission guidelines and use the required abstract template.
  • Be no longer than 300 words.
  • Be submitted under the theme that most closely aligns with the proposed presentation.
  • Be complete, accurate and written in clear English.
  • Not contain unlawful, defamatory, discriminatory, misleading or inappropriate material.
  • Not be primarily commercial or promotional in nature.

Late or incomplete submissions may not be considered.

Authority to submit

The person submitting the abstract confirms that:

  • They are authorised to submit the abstract and nominate the proposed presenter.
  • All listed authors and contributors have approved the submission.
  • All author names, affiliations and contact details are accurate.
  • They have obtained permission to include any third-party material, data, images or intellectual property contained in the abstract.

The submitter is responsible for keeping all listed authors informed about the submission and its outcome.

Originality and intellectual property

The submitter warrants that the abstract is their original work or that all necessary permissions have been obtained.

Ownership of the abstract remains with its author or applicable rights holder. By submitting, the authors grant FAMANZ and the Conference Manager a non-exclusive, royalty-free licence to review, reproduce, edit for formatting and style, publish and distribute the abstract in connection with the conference.

This may include publication on the conference website, in the conference program, mobile app, abstract book, promotional material or post-event resources.

Material changes to the meaning of an abstract will not be made without consultation with the presenting author.

Review and selection

All submissions may be reviewed by the ASBESTOS 2027 Program Committee or appointed reviewers.

Submission does not guarantee acceptance. Abstracts may be assessed based on relevance, quality, clarity, originality, practical value, alignment with the conference theme and program requirements.

The Program Committee may:

  • Accept or decline a submission.
  • Request clarification or revisions.
  • Allocate an accepted submission to a different theme, format, session or program position.
  • Offer an alternative presentation format.
  • Combine related proposals where appropriate and with consultation.

Decisions of the Program Committee are final.

Presenter obligations

If an abstract is accepted, the nominated presenter must:

  • Confirm their acceptance by the stated deadline.
  • Register for the conference by the stated presenter-registration deadline.
  • Pay any applicable registration, travel and accommodation costs.
  • Attend and present in person unless otherwise approved in writing.
  • Meet all presentation, audiovisual and material-submission deadlines.
  • Comply with the conference program, speaker guidelines, venue requirements and reasonable instructions of FAMANZ and the Conference Manager.

Acceptance of an abstract does not include complimentary registration, travel, accommodation or other expenses unless expressly confirmed in writing.

Program allocation and changes

FAMANZ and the Conference Manager determine the final conference program, including presentation format, duration, date, time, session and room allocation.

Program arrangements may change where reasonably necessary. While reasonable efforts will be made to notify presenters, the Host and Conference Manager cannot guarantee a particular session time, format or program position.

Changes and resubmission

Draft abstracts may be amended through the portal before final submission.

Once submitted, an abstract may be locked. Requests to make changes must be sent to the Conference Manager. Changes may be permitted before the submission deadline or where specifically requested by the Program Committee.

Changes to the abstract title, presenter or content after acceptance require written approval.

Withdrawal and presenter replacement

A submitter may request withdrawal of an abstract by contacting the Conference Manager in writing as soon as possible.

If an accepted presenter can no longer attend, they must notify the Conference Manager promptly. A replacement presenter must be an approved author or contributor and is subject to approval by FAMANZ or the Program Committee.

FAMANZ may remove an accepted presentation from the program if the presenter does not meet required deadlines, register for the conference or respond to conference communications.

Confidentiality and sensitive information

Submitters are responsible for ensuring their abstract does not disclose confidential, commercially sensitive, privileged or restricted information without authorisation.

Abstracts may be shared with Program Committee members, reviewers, conference staff and service providers for assessment and administration.

Submitters should not include personal information about identifiable individuals unless they have the appropriate consent or another lawful basis to do so.

Conflicts of interest

Presenters must disclose any financial, commercial, professional or other relationship that could reasonably be perceived as influencing the content of their presentation.

FAMANZ may require an appropriate disclosure to be included in the presentation or conference materials.

Photography, recording and presentation materials

Accepted presenters acknowledge that conference sessions may be photographed, recorded, streamed or otherwise documented.

Any recording, publication or further distribution of presentation materials will be managed in accordance with the conference speaker requirements and any additional permissions requested from the presenter.

Presenters must ensure their slides and presentation materials do not infringe another person’s intellectual property, confidentiality, privacy or other rights.

Privacy

Personal information collected through the Abstract Submission Portal will be used to administer submissions, conduct reviews, develop the conference program, communicate with authors and presenters, and deliver ASBESTOS 2027.

Information may be shared with FAMANZ, the Conference Manager, Program Committee members, reviewers and relevant technology or event-service providers.

Personal information will be handled in accordance with applicable privacy law and the FAMANZ Privacy Policy.

Where a submitter provides another person’s information, they confirm that they have authority to do so and have informed that person of how their information may be used.

Acceptance

By submitting an abstract, the submitter confirms that:

  • The information provided is accurate.
  • All authors have approved the submission.
  • The necessary permissions and consents have been obtained.
  • They agree to these Abstract Submission Terms and Conditions.
  • If accepted, the nominated presenter intends to attend and present at ASBESTOS 2027.
